A lot has been happening behind the scenes this month: a solid round of improvements and fixes across the product, the kind that make day-to-day operations a little smoother.
BOOKINGS
Add a URL to any booking
Bookings now have a URL field for anything relevant to the session: a shared doc, a video call link, or a brief. Members who can't make it to the space in person can join remotely if the organizer adds a call link.
Google Meet links in bookings
The Google Calendar integration now has an option to automatically create a Google Meet link for each booking. When enabled, the link syncs to both Cobot and Google Calendar and gets included in booking confirmation emails.
Timeline page filters tags by resource type
On the timeline, only tags relevant to the selected resource type are shown. If allocatable resources have exclusive tags, those won't appear when bookable usage is selected.
INVOICING & PAYMENTS
DATEV CSV export
The invoice items CSV download now includes a DATEV format option. Many accounting tools beyond DATEV itself can import DATEV CSVs, so this should be useful even if you're not using DATEV directly.
Cost centers and revenue accounts in CSV export
The invoice items CSV now includes cost center and revenue account columns.
Zero-sum charges no longer appear on invoices
If a charge and its exact reversal are both on an invoice — say, +1x Coffee and -1x Coffee — neither line will appear on the invoice at all. Before, this caused issues with invoice generation.
E-invoice unlock on failure
If generating an e-invoice fails, the invoice is now automatically unlocked, so you can go in and fix whatever caused the issue.
Duplicate invoice number handling improved
A few fixes here: whitespace in invoice numbers is now stripped. If you try to assign a number that's already in use, you'll get an error and a suggestion for the next available one. Automatic invoicing also correctly skips numbers that have already been manually assigned.
Failed payment handling for teams
Teams now get the same failed payment treatment as individual members: all failed attempts are logged as activities, and failed payment emails are sent after the third attempt.
PASSES & CHECK-INS
Check-in history now shows the correct pass
When Cobot automatically upgrades a member to a longer pass after a Wi-Fi check-in, the check-in history now shows only the final pass, not both.
Booking pass rounding fix
A rounding issue was causing members to lose a minute of their pass time, so someone with 5:00h remaining could only book 4:59h. Fixed.
INTEGRATIONS
Google Calendar sync improvements
We fixed a bug where reactivating a stopped synchronization would sometimes not resume syncing from Cobot to Google. Cobot now also picks up where it left off instead of trying to re-sync old bookings.
Attendees are now synced both ways. Resource names in the admin UI are refreshed weekly so they stay up to date.
Kisi sync fixed
Syncing Cobot members to Kisi was broken when a Kisi user with the same email already existed. That's working again.
OTHER UPDATES
T&C approvals recorded for on-demand purchases
When someone makes an external booking, buys a drop-in pass, or purchases an event ticket, their Terms & Conditions approval is now recorded. The Customer Approval History CSV export (under Setup » Privacy) includes these approvals, along with additional context so you can tell when and where each approval was given.
Activity for team member confirmations
When a team member is confirmed, Cobot now posts a separate activity for it.
